Case Study - BGS Recruitment

BGS joined the practice as a new client in June of last year. They were losing faith with their existing advisors who they felt weren't being proactive never letting them have up to date management information. Their annual accounts were as is the case with most businesses prepared around six months after the year end when the trading performance and the tax due upon it often came as a surprise. This really shouldnít have been the case as the accountant was maintaining the accounting records for BGS and completing the quarterly VAT return. In addition BGS were relying on the accountants Payroll department to prepare their monthly and four weekly payrolls a key aspect of this staff based business.

So what happened when the client moved to Graham Paul ?

  • Chris the main director at BGS was preparing his own invoices using a template. At the end of the month all the templates were passed to the external accountants for processing wasting time and effort. Graham Paul introduced Chis to the XERO accounting software package and after some training Chris was raising his own invoices directly onto this system which also sent them directly by email to his client. As he was putting all the invoices straight into an accounting system he also now had a debtorís ledger that he could track on a day to day basis. This saved time and money and meant that the customers paid quicker.
  • Graham Paul could drop onto the Xero system as and when they chose helping Chris if he got stuck or to sort out some more complicated entries. They set up Chrisí bank account to directly post all of the bank transactions onto his Xero system and then they ensured that every week the bank was recoiled giving Chris the peace of mind that his accounting system was up to date.
  • Every quarter time was saved as the VAT returns were ready to go out as the postings had all been made. Chris had a forewarning of the VAT that would be due and the return always went in on time something that hadnít happen in the past.
  • Every few months Chis and I have a chat about how the business is doing. This is really simple as the Xero system allows a Year to date or last monthís Profit and Loss Account and Balance sheet report to be run off at any time and we can both look on line. I have to make any adjustments itís easy, I donít have to send Chris anything or go and see him we just make the adjustment straight to the system.
  • These changes turned the business reporting process on its head. Information was now up to date on a week on week basis allowing cash flow and success to be tracked as it happen rather than coming as a news flash some months later.
  • We are now working on ensuring that the auto enrolment process for the company runs smoothly. The Graham Paul payroll team operate over 500 payrolls of which Chris provides two. Our new auto enrolment service will allow Chris to set up a suitable scheme that will be right for his employees and his business and will then seamlessly operate in association with his on-going payroll services.
